FREQUENTLY ASKED QUESTIONS
How far in advance should we book an espresso bar?
Two weeks is the standard lead time for a staffed espresso bar. Allow four to six weeks if you want custom-printed cups and sleeves, or if the event sits outside the New York metro. Rush builds are scoped case by case — send the date and Espresso State of Mind will tell you plainly whether it can deliver.
What do you need from the venue?
Power and a footprint. Each espresso machine runs on its own dedicated 20-amp 120V circuit, and the bars are self-contained with onboard fresh water and waste capture, so no plumbing is required. Eight by eight feet is the working minimum for a single bar; ten by ten is what we ask show management for. ESOM coordinates electrical orders, load-in windows, certificates of insurance and floor plans with the venue directly.
Do you travel outside New York?
Yes. ESOM is based in Long Island City, New York, and produces nationwide, drawing crew from a network of more than 2,300 baristas in the market where the event is held. Travel, transport, lodging and coordination are scoped into the same quote up front, so no new line items appear after the event.
Can the bar and the menu carry our branding?
Yes, across four surfaces: bar cladding and facade graphics, printed cups and sleeves, custom menu boards, and latte art poured as your brand mark. Branded print carries minimum order quantities and a four to six week lead time, so it is usually the deadline that sets the rest of the booking.
How does pricing work?
Every engagement is scoped to the event rather than sold from a rate card. Five things drive the number: service hours, how many stations, crew size, how custom the build is, and whether the event is in-market or needs travel and shipping. Trade shows run on an eight-hour service minimum. Send the date, venue, service hours, expected attendance and your allocated footprint, and ESOM comes back with one quote.
Who staffs the bar?
Working professional baristas, led on site by one person who owns the station and is your single point of contact. ESOM came out of a decade on the national latte art competition circuit, which is why the crew pours brand marks to competition standard at scale rather than simply serving coffee.
Do you work under our agency's banner?
Yes. ESOM works white-label inside your production team, so the client sees one experience. Branding, uniforms and menu language follow the campaign, not ours.
Can you run multi-city or national programs?
Yes. Multi-city programs run off one production plan, with a single point of contact and the same run of show in each market. Roadshows of four or more cities are usually more consistent, and cheaper, shipped as one kit with a traveling lead.
Do you serve alcohol?
On a dry-hire basis only. You or your beverage sponsor supplies the alcohol; ESOM supplies the bar build, the bartenders, glassware, ice, mixers and garnish. That keeps the licensing and the liability with the party holding the permit, and it lets a sponsor's product be featured without a markup sitting between the brand and the pour.
Is Espresso State of Mind a catering company?
Clients often find ESOM searching for coffee catering. What ESOM delivers is experiential hospitality: a branded bar, a campaign menu and briefed baristas built to draw guests in and start conversations for the brand. Coffee is the medium, not the product.
